Case Study: Independent School Reduces School Trip Admin


Paying for meals on trips was quite stressful

<br> Managing expenses has been a major challenge at our client, a leading independent school for 11-12 year pupils in Northampton. Previously when the school would go on trips in the UK or abroad, they would take cash, which was difficult to manage and quite stressful, while being time consuming when filling in the expense forms at the end of the trips <br> <br> Our client turned to Caxton to improve their expenses processes and eliminate the burden of carrying cash whilst on trips. The Caxton card is great, said the Bursar, “We can load the card before the trip, hand the cards to staff and have no worries about handing out cash or having to buy euros, for example, before the trip, which is always a last minute dash to the bank”. <br> <br> Caxton provided several multi-currency expense cards to our client, as part of its automated expense management platform. Staff can now spend anywhere where they see the Mastercard logo and it makes paying for meals just that little bit less stressful when you have 20 pupils. They can also scan and categorise receipts in the Caxton app, and no longer have to fill out claims forms. <br> <br> The fully integrated dashboard gives the Bursar and finance team a single place to get real-time view of spending, report by category and reconcile expenses online, directly into their own accounts package, saving valuable time and money. <br>
